TERMS & CONDITIONS

Class Registration

By enrolling in a TONGWOOD program, you are committing to participation for the full session (or the remaining portion if already in progress). Tuition will be charged in full or on a monthly basis over the course of the semester. If enrollment occurs after a session has commenced, the price will be automatically prorated.

Attendance
&
Scheduling

  • Arrival Time: Please arrive 10–15 minutes before class to allow time to settle in.
     

  • Late Arrival: Students arriving late will not receive extra time to make up for missed lessons.
     

  • Absence Notification: Please notify us at least 24 hours in advance via email or text if you will miss a class. Each student is allowed a limited number of makeup sessions, depending on the package size (see below). Unnotified absences will not qualify for makeup sessions.

    x 1 makeup session for an 8 session package
    x 2 makeup sessions for a 12 or 14 session package
    x 5 makeup sessions for a 26 session package
     

  • Pauses: If you need to temporarily pause lessons (e.g., for vacation), please notify us at least one week in advance.

Course Renewal
&
Confirmation

  • Three weeks before the end of a course, we send a sign-in sheet (attendance record) to parents for review and renewal confirmation.
     

  • If no confirmation is received within one week, we will assume withdrawal and open the spot for new students.

Course Structure

  • Each month, we announce the class themes and materials via email and social media.
     

  • Some projects take two or more weeks to complete, so attendance is important.
     

  • Classes may be adjusted or rescheduled due to material shortages or unforeseen circumstances.

Payment
&
Refund

  • Payment Methods: We prefer cash, check, or ACH Transfer (via our Invoice Link for quick payments) 
     

  • Refund & Cancellation Policy:
     

a)     No refunds. Please confirm all arrangements before enrolling.

b)     Class rescheduling requests must be made at least two weeks in advance.

c)     Refunds for medical reasons require a doctor’s note.

Behavior
&
Discipline

    •    All participants are expected to treat instructors and peers with respect.
 

    •    Our approach emphasizes positive reinforcement and guidance, not punishment.
 

    •    If behavior issues arise, we will use gentle interventions and communicate with the participant (and parents/guardians, when appropriate).
 

    •    Zero-Tolerance Policy: Any participant engaging in bullying, violence, discrimination, or other serious misconduct may be suspended or dismissed.

Non-Discrimination

We welcome all participants and do not discriminate based on race, gender, nationality, religion, disability, or financial background.

Attendance
&
Departure

  • Participants under the age of 10 must be accompanied by a parent/guardian at arrival and departure, or be picked up by an authorized adult.
     

  • Late Departure Policy:
     

    a) Participants must leave within 15 minutes after class ends.
     

    b) Late departures for minors will incur a fee of $20 per 15 minutes, payable immediately.

Waiver Policy

A signed waiver is required for all participants. The waiver must be completed before the first class. TONGWOOD reserves the right to suspend participation until the waiver is received.

Food Policy

There may be vacation programs or workshops at TONGWOOD that require children to bring water and/or food. All food must be nut free and not require refrigeration. If the your child forgets their water and/or food or their water and/or food do not meet the requirements set above and TONGWOOD has to provide your child with food, you must fully reimburse TONGWOOD for the cost of the food.

Allergies

Parents are required to alert TONGWOOD's staff members of any medical issue, dietary issue, allergy, or illness that could impact the safety and well being of your child and his/her peers in the program. If your child might require an EpiPen, other medical device or medication, you must leave it (labeled with your child’s name) with the staff with explicit, written instructions. All TONGWOOD staff are trained in pediatric first aid.

Medical Consent

Parents or guardians will be contacted if a child requires medical attention during class time. If parent or guardian cannot be reached, an administrator of TONGWOOD will arrange for treatment as necessary. 

Outdoor Protective Gear Policy

TONGWOOD 's staff members may take students outside for various activities during classes, vacation programs, or workshops. For days where it may rain or snow, you must provide the appropriate protective clothing or gear for your child. If you would like your child to wear sunscreen while outside, you must provide it in their bag each day. TONGWOOD's staff members will not apply sunscreen to students, but will remind them to apply it.

Lost and Found

TONGWOOD recommends that you label all personal items with your name.
 

TONGWOOD is not responsible for any lost, stolen or misplaced items. All lost items with a label will be placed in a designated lost and found bin at TONGWOOD .

Other Policies

TONGWOOD reserves the right to ask your child to leave the session if it is determined that they are in any way disruptive to the Program. Any decision made by TONGWOOD in this regard will be in TONGWOOD 's sole discretion. TONGWOOD asks that the parent/guardian disclose all pertinent information regarding their child’s past school experiences and/or behavior so we may help you decide if our session is appropriate for your child. If the parent withholds information pertaining to special needs, behavioral, physical or other and it is determined that TONGWOOD is not appropriate for your child, refunds will not be given. If we find out that your child does not meet the age requirements for the session, your child may be asked to leave and no refund will be made. Similarly, if your child is asked to leave the session for any reason, no refund will be made.

Photo
&
Media Consent

By enrolling in our programs, you acknowledge that photos or videos may be taken during classes, camps, or events to document activities and showcase artwork. These materials may be used in promotional or educational content, including our website and social media. If you do not wish to be included, you must notify us in writing before the start of the program.
